MAIL MANAGEMENT AND DISPATCH

Strategic deploys trained mail management and dispatch staff at its customer’s site or we do in-house for mail receiving, sorting, recording, mail preparation and dispatching through the customer’s courier or post vendors.

Typically, we would deploy our staff at customer’s premises (at the head office and at branch level). Our team at the customer’s site is managed and driven by an onsite supervisor. We can also provide customized applications for recording and managing document movement.

Strategic staff would perform activities including:

  • Pickup and drop of daily mail from and to various departments within the customer’s head office and branches
  • Consolidation and preparation of mail from the customer to its customers for onward dispatch through the general post office or courier
  • Receipt and sorting of all inward mail for dispatch to the various customer’s departments
  • Recording and managing all internal and external mail
  • Production of periodic efficiency reports in accordance with agreed metrics with the customers
  • Recording and managing all courier mail both internal and external, including negotiating the best possible rates with the courier suppliers

All these processes would be governed by a service level agreement which will be monitored by the customer’s management by reviewing periodic reports and audits.
